a bucket can have more than one person in it: groceries with your partner, chores with the family, a trip with friends. everyone sees the same list and can add to it, and each person gets reminded on their own phone, in their own time.
sharing is new, so it’s marked [beta] in the app. if something feels off, tell me.
invite someone
- open the bucket’s settings → members and press
[create invite]. - you get a code like
M634-S5DM, a link and a qr code. send whichever is easiest. - each invite works once and lasts 48 hours. the code is only shown this once, so send it before you close the window.
open invites are listed under the button, and you can cancel one before it’s used. a bucket fits up to 5 people.
join a bucket
- with a link: open it and press
[join]. if you’re not signed in yet, sign in first and you’ll come right back. - with a code: in the app, open
···→ join a bucket and type it in.
the bucket then shows up next to your own, with everything already in it. after five wrong codes you have to wait 15 minutes before trying again.
who can do what
everyone in a bucket can add, edit, move, complete and delete items, and bring them back from the trash. everyone also sees who else is in it.
only the person who made the bucket, the owner, can:
- rename it or change its settings, like reminders and channels
- see its webhook key and telegram setup
- invite people or remove them
- archive or delete the bucket
- delete things from the trash for good
anyone else can leave whenever they want: settings → members → [leave bucket].
giving an item to someone
in a shared bucket, the item editor has an assigned to field, wherever you open the item: in the bucket, in today or from search. pick a person, or anyone. you can also type @ in the title and pick a name from the list.
the row then shows who it’s for, like -> sam. assigning only changes who gets reminded, everyone can still see and change the item.
who gets reminded
- an item assigned to someone reminds only them.
- an item for anyone reminds everyone in the bucket.
each person gets it on the channels they’ve set up themselves in tweaks → notifications, with their own quiet hours. if someone hasn’t set up any channel, the assign list says no reminders set up next to their name. if the bucket posts to discord or slack, that message goes out once, not once per person.
when one person presses done or remind me later, it counts for everyone.
living in different timezones
heycapy takes your timezone from your browser, so people in different countries can share a bucket without doing any maths.
- a time is the same moment for everyone, shown in your own time. if it’s for someone in another place, the row adds their time, like
(9am for sam). - when you set a time for someone else, it’s read on their clock: “9am” for sam means 9am where sam is. to set it on your own clock instead, pick your place under the date, in time on.
- under the time you see what it is for each person, like
9am for sam · 1:30pm for you, and a gentle warning if it falls in someone’s night or quiet hours. it never stops you from saving. - an all-day item is the same date for everyone.
- the bucket says
people here are in 2 timezonesunder its name, and the members list shows each person’s place and the time there now.
if you travel, the app notices and asks you seem to be in uk now. press [update] to move your reminders to the new clock, or keep the old one.
your name and avatar
everyone gets a username when they sign up, like plucky_otter_dancing. it’s what the others in a bucket see. they never see your email.
to change it, open tweaks → account and type a new one, or press [generate another] for a random one you can still edit. while you type, it tells you whether the name is free. a username is 3 to 32 letters, numbers or _.
- you can change it twice in 30 days. after that, the box says when your next change opens. if you really need one sooner, write to me.
- your old name stays yours for 30 days, so nobody else can grab it and you can go back to it.
- the others in your buckets see the new name straight away, no reload needed. the same goes for a new avatar.
next to your name there’s a small pixel avatar, so people can tell each other apart at a glance. draw your own in tweaks → account on a 16x16 grid, with a pencil, eraser, fill and mirror, or start from one of 12 pictures and change it. if you never draw one, you get a pattern made for you. only people you share a bucket with see it.
telegram and capy
shared buckets work in telegram too: they show up in your bucket list, and you can add to them and get their reminders there.
capy can work in them as well, and give items to people: “remind sam to call the plumber tomorrow at 9” puts it on sam’s 9am. capy can’t change a shared bucket’s settings unless it’s yours.
leaving, removing and deleting
- when someone leaves or is removed, the items assigned to them go back to anyone, and they stop getting its reminders.
- you can’t delete your account while you own a bucket that others are still in. remove them or delete the bucket first.
- if you delete your account, the items you added to someone else’s bucket stay there, with its owner.
