buckets and items

[back]

everything in heycapy lives in buckets. a bucket is a list with its own settings, and the things in it are items: a bill, a task, a birthday, a deploy that failed.

buckets

press [add bucket] next to your bucket tabs. on a phone, tap the bucket name at the bottom left first. pick a template, give it a name, done.

templatemade for
blankstarting from scratch
remindersgeneral reminders, at the deadline
subscriptionsbills that renew
todoa simple list you order by hand
workwork tasks with deadlines, quiet in the evening
ci/cd monitorbuilds and deploys coming in through a webhook

a template only sets the starting settings. you can change all of them later in the bucket’s settings.

drag the tabs to put your buckets in the order you like.

a bucket can also be shared with family or friends, so everyone works on the same list. see sharing.

each bucket’s settings

open a bucket’s settings to change how its list behaves:

  • sort by: deadline, when it was added, or by hand.
  • allow drag: move items around by dragging them.
  • show completed: keep done items in the list, or hide them.
  • read only: you can’t add or edit items in it by hand. handy for a bucket that’s filled by a webhook.
  • default deadline offset: new items start with a deadline this far from today.
  • repeating items: what happens when a repeating item comes round again. more on that below.

how and where the bucket reminds you is in notifications.

items

press [add +], type what it is, and pick when it’s due, or just write the date into the title.

dates in the title

type it the way you’d say it and heycapy picks the date out:

you typeyou get
pay rent friday 9am“pay rent”, friday at 9am
dentist tomorrow 4pm“dentist”, tomorrow at 4pm
call mum in 3 days“call mum”, 3 days from today
renew passport on dec 5“renew passport”, 5 december
gym saturday morning“gym”, saturday at 9am
dinner with sam tonight“dinner with sam”, tonight

the date words light up while you type and come out of the title when you add it. little words in front of them, like “by” or “on”, go too. without a time you get 9am. if the words weren’t meant as a date, press [×] next to them and they stay in the title. a date you pick yourself always wins, and editing an item never reads dates from its title.

in a shared bucket, an item can be assigned to one person, so only they get reminded. pick them in the item, or type @ in the title. more in sharing.

an item can have up to 4 reminders, from right at the deadline to 90 days before. see notifications for how they reach you.

every item has a status:

  • active: the normal one.
  • completed: done.
  • on hold: parked for now. it gets no reminders until you change it back.
  • missed: a repeating item whose date went by without being done, in a bucket set to move on. the next one is already waiting.

quick actions

you don’t have to open an item to change it:

  • swipe right marks it done. swipe left deletes it, and you get a moment to undo.
  • long-press it on a phone, right-click it on a computer, or press its ⋯. that opens a small menu with done at the top (reopen on a finished item), then due today, due tomorrow, due next week and pick a date…, each showing the date it moves to. it also has copy title and delete.

on a repeating item, moving the date only moves this one. the ones after it stay where they were.

repeats

turn on repeat in an item and pick how often: every so many days, weeks, months or years.

  • weekly can be on certain days, or on weekdays in one tap.
  • monthly can be on the same day each month, or on the last day, which is handy for end-of-month bills.
  • set end date stops it after a certain day.

what happens when the next date comes round is set per bucket, under repeating items:

settingwhat it doesgood for
wait for methe next one appears when you complete this onebills and to-dos you still owe
move on if missedwhen the next date arrives, an unfinished one is marked missedhabits
after completionthe next date counts from when you complete itwater the plants 3 days after

today

today shows everything that’s overdue or due today, from every bucket, in one list. it’s the place to start the day.

custom fields

a bucket can have its own fields next to the title, like an amount for bills or a priority for tasks. open bucket settings → advanced → configure schema and add fields. a field can be text, a longer text, a number, an amount of money, yes / no, a date, a date and time, a link, or a choice from a list (one or several).

  • show in list puts the field right in the item’s row.
  • required means an item can’t be saved without it.

items that come in through the bucket’s webhook are checked against these fields too.

archive and trash

  • archive hides a bucket you don’t need right now, without deleting anything. find it again in ··· → archived.
  • deleted buckets and items go to ··· → trash, where you can bring them back.
  • in a shared bucket, the trash says who deleted each item. anyone in the bucket can bring it back, but only the owner can delete it for good.
