capy can remind you in a few different places, and you can use as many of them as you like at once. you set the channels up once in tweaks → notifications, then each bucket picks which ones it uses.
pick your channels
reminder emails go out through your own email account, like gmail with an app password. it takes a couple of minutes, the email guide walks you through it.
reminders go to the address you log in with. if you’d rather get them somewhere else, put that address in deliver to.
push
notifications on your phone or computer, no extra app needed. press [turn on] on every device you want them on. the list underneath shows your devices, and [x] removes one.
on an iphone, push only works from the home screen app: in safari tap share → add to home screen, open heycapy from there, then turn push on.
ntfy
ntfy is a small free app for push notifications. put in a server (ntfy.sh is the default) and a topic, then subscribe to the same topic in the ntfy app. press [generate] for a random topic: anyone who knows the topic can read it, so a hard to guess one is best.
telegram
reminders in a telegram chat, with buttons to mark things done. it has its own guide: telegram.
other apps
send reminders to discord, slack, home assistant, n8n or your own server. under other apps press [add app +], give it a name and paste the webhook url. discord and slack links are picked up and sent as normal messages. you can add up to 3, and [send test] checks one works.
each bucket picks its channels
open bucket settings → notifications → channels. a bucket only sends to the channels that are ticked there:
channels
where to send notifications for this bucket
⚠ ntfy not configured — add server url + topic in tweaks
new buckets get their channels from your bucket defaults, plus the other apps you switched on by default. tick or untick one here and the bucket picks its own channels from then on.
quiet hours
turn on quiet hours in tweaks → notifications and nothing gets sent at night, on any channel. it starts at 22:00 to 07:00 and you can change both. a reminder that falls in quiet hours arrives when they end.
when reminders go out
every item can have up to 4 reminders: at the deadline, or a while before it (15 minutes, an hour, a day, a week…, up to 90 days). set them in the item editor.
new items start with the bucket’s own defaults, which you set in bucket settings → notifications → when to remind. change the defaults and items follow along, except the ones whose reminders you’ve changed yourself, those keep their own.
two more settings live there:
- remind at is the time all-day items are reminded at, and nothing from the bucket arrives earlier in the day.
- keep reminding: once, or daily. daily sends the reminder again every day until the item is done.
overdue alerts
under if it’s overdue, switch on notify when overdue and capy tells you when something passes its deadline without being done. first alert is how long after the deadline it goes out, from 15 minutes to a day. then repeat every sends it again every 15 minutes up to 8 hours, or pick none to get it just once.
bucket defaults
instead of setting up every bucket on its own, set it once in tweaks → notifications → bucket defaults:
- every channel you set up: on, buckets use every channel that works. switch it off to pick the channels yourself.
- reminders, remind at, keep reminding and if it’s overdue: the same settings a bucket has.
new buckets follow these. in bucket settings → notifications, a setting that follows them says from tweaks. change it there and only that setting becomes the bucket’s own, the rest keep following. use tweaks next to it puts it back on the defaults.
change the defaults and every bucket following them changes too. a channel you set up later reaches those buckets the next time you save tweaks.
buckets you had before bucket defaults existed keep their own settings. press use tweaks on anything you’d like them to follow. some templates come with their own settings too, like subscriptions reminding 3 days before at 09:00, and those stay the bucket’s own.
remind me again
reminders come with buttons: done is always there, and you choose which snooze ones show up (15 min, 30 min, 1 hour, tomorrow) in bucket settings → notifications → reminder buttons, under remind me again in. not every channel has room for all of them:
| channel | buttons |
|---|---|
| push (android, desktop) | done + the first one |
| ntfy | done + two |
| email, telegram | all of them |
items from webhooks
if things land in a bucket through its webhook, notify on arrival under webhook items sends you a notification every time a new one comes in.
ai reminder texts
in tweaks → ai, ai notification messages has capy write the reminder text for you instead of the plain one. it can add a little delay, depending on the ai model.
shared buckets
in a shared bucket, an item assigned to someone reminds only them, and one for anyone reminds everyone in it. each person gets it on their own channels, which start from their own bucket defaults when they join, with their own quiet hours, and remind at runs on each person’s own clock. the bucket’s settings are the owner’s and count for everyone.
reminders not showing up?
on the hosted version, check status.heycapy.xyz first. it shows if the app is up and if reminders are going out. if it says everything’s fine, send yourself a test from the channel in tweaks → notifications.
